Hello all

The Board continues to monitor the situation regarding the COVID-19 (coronavirus) outbreak and will continue to update you as the situation changes. We have agreed to adhere to all local government and WHO advice as follows.

Travel

If you have arranged any meetings with people from outside the business ask yourself, does it really have to be face to face or could it be achieved by Skype/Teams or telephone conference? We know this is not always possible but we just have to take extra care. If you are considering any future trips, apply the same questioning. How urgent or necessary is this trip? Speak to your line manager about this if you are unsure.

Please do not feel obliged to travel and any staff that are not comfortable doing this will not be expected to do so. And please do not feel obliged to follow through with travel only because it is already booked.

Do not travel if you have a fever and cough. If while you are travelling, you develop a fever, cough and difficulty breathing, seek medical care and share previous travel history with your healthcare provider.

Take care to ensure that any people you visit will be receptive to your presence – some companies are already refusing visits from external parties.

If you do choose to travel, since much potential travel remains relatively safe, where possible:

book airline fares that can be cancelled or rebooked without penalty

book hotel rooms that can be cancelled without penalty

Keep your itinerary as flexible as possible.

Staff should not travel to the following regions:

                     Hubei province in China

Iran, and neighbouring Middle Eastern countries

Lockdown areas in northern Italy, being in Lombardy: Codogno, Castiglione d’Adda, Casalpusterlengo, Fombio, Maleo, Somaglia, Bertonico, Terranova dei Passerini, Castelgerundo and San Fiorano

in Veneto: Vo’ Euganeo

Special care zones in South Korea: being Daegu and Cheongdo

Any other region which reaches lockdown or outbreak status similar to the above after this communication (please ask if you are unsure)

For those who have recently returned from travel please follow to the FCO recommendation which currently says:

Stay indoors and avoid contact with other people immediately if you’ve travelled from:

Hubei province in China in the last 14 days, even if you do not have symptoms

Iran, lockdown areas in northern Italy or special care zones in South Korea since 19 February, even if you do not have symptoms

the following locations, if in the last 14 days you have a cough, fever or shortness of breather (even mild symptoms):

other parts of mainland China, South Korea, Hong Kong, Japan, Macau, Malaysia, Singapore, Taiwan, Thailand other parts of northern Italy (anywhere north of Pisa, Florence and Rimini), Cambodia, Laos, Myanmar or Vietnam

Working from home

Current advice is to continue operating as normal but we are putting contingency plans in place should the virus start to spread. If the outbreak does worsen then staff will be urged to work from home. For those members of staff with laptops please consider taking your laptop home when leaving the office on a daily basis.

However,  we are also mindful that a number of staff may not currently feel comfortable in an environment where they may be exposed to the virus. Please discuss your concerns with your line manager and where necessary the company will allow you the flexibility and provide the equipment to enable you to work remotely during this period of uncertainty. I have also attached the WHO recommendation on how to cope with stress during a COVID-19 outbreak.

The safety of our staff is paramount and  we will continue to amend our procedures as the situation changes. We also urge you to stay informed on the latest developments about COVID-19 and follow advice given by your healthcare provider, your national and local public health authority, on how to protect yourself and others from COVID-19
